Great Waves Swimming Academy offers a solely direct debit payment method for all customers. This offers customers a hassle-free payment option and continual re-enrolment to fit in with a busy family life.
Direct debit also offers the added benefit of manageable monthly payments, with no required customer input after initial set up.
Direct Debit Guarantee
Great Waves Swimming Academy direct debits are processed by GoCardless. As part of this we offer the direct debit guarantee as detailed below:
Important Information
- Direct Debits must be set up 3 working days prior to the initial swimming lesson
- The first payment will be authorised to be taken on the working day prior to the first chargeable swimming lesson
- Failure to do so will mean you are not enrolled onto your class and may forfeit your place
- As this is an automated system, we are not able to override it
Setting Up the Direct Debit
- To set up a direct debit you will receive an email from Great Waves Swimming Academy asking you to complete an online form providing your preferred payment details.
- These details will be stored securely by Gocardless and Great Waves Swimming Academy does not have possession of any bank account details.
After the online form is complete, you will be set up for direct debit. For new customers setting up a direct debit mandate, you will be invoiced for the remaining lessons in the month and the next month of lessons. Direct Debit must be set up 3 working days prior to the first payable lesson.
Payments are taken one month in advance, with prior notification provided via email two days before payment is due on 1st of the month.
Payment Schedule
Payments are processed a month in advance by direct debit. Payments will leave your account on the 1st of each month.
Ahead of any payment being processed, you will receive an invoice emailed to you two days before the 1st. This email will detail the amount that will be debited. For example, your account will be debited on 1st September to pay in advance for October swimming sessions.
Please be aware that the payment will be based on the number of lessons per month. Please see term dates here.
Please be aware that you are paying for the allocated spot and lessons provided in that month and not the amount of lessons you choose to attend.
Extra Payments
Should you make any changes to your child’s lessons that result in an outstanding balance, a payment will be taken the following month, whether or not that month is one in which a regular payment would be due. It may also result in two separate payments being taken in one month, if the change relates to a previous term.
Automatic Re-enrolment
- Swimmers set up on the direct debit system will be automatically re-enrolled on to the following terms lessons. meaning you are on a continuous payment plan until stated otherwise.
Changes to the Direct Debit
Great Waves Swimming Academy is unable to manually change your bank details and you will be required to log into your GoCardless account to action any changes.
Failed payments
Due to charges imposed by our bank, as fee of £7.50 will be charged if a direct debit is returned to us as unpaid.
Payment errors
Where possible if we notice an issue with the direct debit payments we will endeavour to contact all customers as soon as possible and work with each customer on an individual basis.
Cancelling direct debit and re-enrolment
Our cancellation terms are 28 days. To cancel your direct debit or your lessons, Great Waves Swimming Academy require notice by 28th of the month.
You are able to cancel your direct debit through Great Waves Swimming Academy or with your bank directly. After providing notice of cancellation, you will be advised on the date of your last lesson that you are paid up until.
Absent or Missed Lessons
Great Waves Swimming Academy is unable to deduct absent or missed from any future payments. We are pleased to endeavour to offer a Catch-Up Lesson, with information found here.
Pool Closure or Lesson Cancellations
In the event that Great Waves Swimming Academy is required to cancel a lesson. The fee for the lesson will either be deducted from the following months direct debit or an alternative lesson will be offered to make up for the cancelled lesson.
Holiday Allowance
Swimmers are able to access our two week holiday allowance at any point over the academic year. If you would like to take a holiday allowance date, Great Waves Swimming Academy must be notified in writing by the 28th of the month prior to the intended holiday allowance date.
Additional Payments, Merchandise or Certificates
To make purchasing swimmer certificates and badges hassle free, you are able to opt in for a one off payment of £20.00 per academic year per child to cover all badges and certificates that will be awarded over the academic year. This will ensure that certificates and badges are ready to collect once your swimmer has achieved these.
For merchandise payment, you will be able to select in advance of starting lessons if you would like to purchase any merchandise.
